About the client

A growing lubricant manufacturer that needed to scale their supply chain operations.

A lubricant manufacturer with a complex supply chain

Our client is a growing lubricant manufacturer and supplier in India. Their business involves coordinating with a diverse network of vendors for raw materials (lubricants, containers, caps, stickers) and a separate vendor for the final packaging and assembly. They serve both B2B and B2C markets with 18 different product variants.

The challenge

The chaos of multi-vendor email coordination that consumed hours every week and led to production delays and lost customers.

Disconnected inventory data

The team had no real-time, centralized view of their raw material stock levels at their packaging facility, making it impossible to plan effectively.

Manual calculations

They had to manually calculate the shortfall for 18 different products based on their production forecast, figuring out exactly how many containers, caps, and stickers were needed.

Manual purchase orders

Finally, they had to write and send individual purchase order emails to each of the different vendors for the specific components they supplied, a process that often took days.

The solution

A custom, automated supply chain coordinator that acts as a central coordinator for the entire supply chain.

Centralized inventory tracking

We first created a master dashboard that provides a single, real-time view of all raw material inventory. This system is confirmed by the packaging vendor once a month to account for any damages or loss.

Simple requirement input

The client now enters their two-week production forecast into a simple Google Sheet, eliminating the need for complex manual calculations.

Intelligent calculation & ordering

The system instantly checks the forecast against the live inventory data, calculates the exact number of each component needed, and automatically generates and sends perfectly formatted purchase order emails to the correct vendors.

Unified dashboard

The master dashboard now tracks not only inventory levels but also the status of all purchase orders, providing the founder with a complete, real-time view of their entire supply chain.

The results

A proactive and efficient supply chain that eliminated production delays and drove significant revenue growth.

Time saved

Saved an estimated 10+ hours of manual coordination work every single week, allowing the founder to focus on strategic growth initiatives.

Revenue growth

Achieved 16% monthly revenue growth by eliminating production delays and out-of-stock events, capturing sales that were previously lost.

Increased accuracy

Eradicated manual calculation errors in purchase orders through automated, accurate calculations based on real-time inventory data.

Strategic clarity

Provided a single, real-time dashboard to monitor all vendor activity and inventory levels, enabling data-driven decision making.

Bonus insights

The automated system also generates detailed analytics on vendor performance and supply chain efficiency, helping the client optimize their vendor relationships and reduce costs over time.
